Setting up xpert Time

For the xpertTime application to help with resource planning and reduce required inputs, it is important to set up the app configuration in the correct order. By administrating the system in the correct way the links between data elements can be utilized to add value to your projects and reduce time spent by employees entering data.

  • Teams are made up of employees so start by adding the employees to the system
  • Projects are always related to customers, so it is important to add the customer records before trying to set up a project.
  • Predefined tasks make it much simpler to record repetitive time against multiple projects, so setting these key tasks prior to recording time is a key efficiency enabler
  • Employees are assigned to projects, so it is important to have teams configured before creating a project.
  • Employees can only enter time against projects that they are associated with through project teams therefore correct administration of the teams’ section is an important first step to being able to manage time for individuals or projects.

Employees

The employees menu item displays a list of employees and allows administrators to add new employees on to the system. Key employee information that should be entered when adding the employee includes:

  • Contact info: phone numbers and email addresses
  • Working shift: the standard hours the employee is contracted to work by day of the week.
  • Certifications: a list of the employees held certifications and status of those certifications.
  • Skills: a list of employee skills and capabilities
  • Inventory: a list of the equipment held by the employee, who owns that equipment, and limitations of use.

The remaining tabs under the employee section provide a view of information entered through other sections of the xpertTime application such as holidays (requested through holiday request workflow), Timesheet overview (info entered through the timesheet module), Team membership (information entered through the teams module), and Resource Planner (Info entered from the time sheets module).

A photo or image for the employee can also be added if required.

User Profile

Here you can see the necessary contact information of the user, as well as his work schedule, the projects in which he is involved, as well as the teams he is part of within the company, as well as his role in these teams.

You can also find out what skills and certifications the person has, how many hours he worked per project, but also when he wants to take his vacation.

Customers

The administration Customers menu allows administrators to see a list of customers and add new customers to the system. The details held in relation to customers are minimal and consist of only data that is required to identify the customer in projects and timesheet allocation:  

  • Customer name 
  • Description 

Teams

Under the Administration – Teams menu you can add, Edit or delete teams. These teams are used in reporting to show timesheet data for the specific teams and measure productivity and workload in the resource planning area. Teams’ entries require: 

  • A Team name
  • A Team Leader (Picked from employee list)  
  • A Team Description – to detail what the team is and does.  

Once the team is created it is possible to add team members by selecting them from the employee drop-down list.  

Timesheet

  • The timesheet page shows a record for each month in the period requested.
  • The top line of the record shows the allocated shift hours for that day and below this is the total time of timesheet entries made for the selected day.
  • The record can then be expanded to show details of timesheet entries made or to add new entries.  
  • It is important to note that timesheet entries can only be made against projects that are assigned to the individual concerned.  
  • Overtime hours are calculated manually based on the assigned work shift hours and totaled for the month displayed.  
  • Administrators can view all employee timesheets and make changes if required.  
  • For predefined tasks, the entry data is reduced even further making the timesheet entry process as simple and efficient as possible.

Dashboard

Here you can have an overview, a summary of your customers, your employees, the tasks assigned to employees and teams, as well as a summary of the resources used.

Holidays

The Holiday section of the application allows employees to request leave or record absence from their normal shift via a workflow system.
Within the Holiday tab an employee can see a calendar of absence records color coded by type and status.
